Example of Welcome Email
Hi ___________
We are excited to have you a part of the team. The Market is really a team sport and there are so many key stakeholders including vendors, community members and volunteers, partners, and staff that work together to make this market work! Communication is key in this system as it is not necessarily hierarchical, but rather collaborative and consensus building is key to making decisions.
We have put together an orientation email with the various inner workings of the Market for your review so you can start to have an understanding of our operation.
Housekeeping:
I have attached the TD1 and TD1ON forms for you to fill out so that we can get you on the payroll. If you could bring these to MArket on Saturday, that would be great.
We have also attached a contract for your review.
Peterborough Regional Farmers Network
The Peterborough Regional Farmers Network is the not for profit organization that governs both the Saturday and Wednesday Market. It is the legal body that has the fiduciary duty to the markets financial health and success. They make decisions around important policies, budgets and staffing. You can find the names of the board members on the PRFN website: https://www.ptbofarmers.net/board-of-directors
The Board has also been playing a more active role during the pandemic to help navigate the changing regulations as well as offer support to Market staff and committees.
Peterborough Regional Farmers' Market - Steering Committee

We have a couple open positions to fill in the new year. The steering committee meetings with the Market administrator every month on the third Thursday at 1pm via Zoom to discuss market operations and provide support/direction. Each current steering committee member would be happy to have a 30 minute conversation at some point with you to explain their role and experience within the organization.
Peterborough Regional Farmers' Market - Guidebook, policies, rules and regulations
The Market has created and regularly updates our Market guidebook, which has a lot of information about how the market operates including governance, market day operations, application process and vendor vetting, rules and regulations, community group policies, fees, dates, and times as well as a lot of other information. Part of your job will be keeping this document up to date and finding and fixing and caps in policy, procedure and rules.
Please give the current guidebook a thorough read. Also, you can review our website in full to find other important information.
Peterborough Regional Farmers' Market - Covid 19
The Market has been deemed an essential service and has been able to continue operating throughout the pandemic. We were one of the only markets in Ontario that didn't shut down during the first lockdown. We have a very good relationship with Peterborough Public Health and they have been supporting us and helping us adapt throughout the Pandemic. Amanda can fill you in more about this relationship.
We have produced a Covid 19 safety plan which consists of a occupancy management plan for maitain physical distancing and crowd control as well as a Covid 19 guidebook that lays out all of our Covid safety measures and best practices. Please see attached both of these documents and review them in detail.
Peterborough Regional Farmers' Market - Our History
The Market has a very 'exciting' and interesting history. We are finishing our third year of operations and so much of the framework that was created to make this Market successful is based on our history as farmers, customers, and community members within Peterboorugh. We don't need to get into any of the Drama, but it is important to understand how this Market was created. Our Market friend and Filmmaker Brian Mitolo made this great little video about the Market where he interviewed some of the founders and customers of this market.
